JOB SUMMARY
The Clinical Office Assistant supports the Clinical Manager and Director with the day-to-day administration of clinical department, including preparing and managing documents and files, assisting with guest admissions and financial and personnel records.
JOB RESPONSIBILITIES
* Creates treatment team minutes and distributes to the appropriate team members.
* Verifies accuracy of tracking sheets including timely documentation of session notes.
* Ensures client records are complete and accurate and maintained in a secure location.
* Audits client files and complete a quarterly report identifying problem areas or missing materials in clients' files.
* Notifies clinicians when new clients are assigned.
* Follows through with the clinical recommendation to ensure recommendations are being reviewed with clients in a timely manner and turned into the admissions/financial department.
* Maintains and organize the clinical office to be an efficient workplace.
* Assists the utilization review personnel with documents required for insurance authorizations and billing.
JOB QUALIFICATIONS
* Experience supporting clinical therapists with office and administrative tasks. A minimum of 2 years of experience in clerical, office experience.
* High school diploma.
* Strong organization and time management skills.
* Ability to work under pressure and meet tight deadlines.
* Excellent Microsoft Office skills.
* Experience in a behavioral health or recovery center a plus.
* College degree preferred.
* CPR/First Aid Certification is required for this position. If not CPR/First Aid certified at time of hire, certification must be obtained within the state mandated time frame after first day of employment.
